Trust & business money

Transfers to business

When fees or disbursements are due to the firm, transfer them from the matter's trust balance to business. Caseo won't let you take more than is owed.

Before you transfer: raise the fees

Caseo only lets you transfer what the matter owes the firm, so fees and disbursements need to be on the matter first. Raise them in the matter's Client account under Fees & disbursements (you can mark a fee as an agreed fee), or issue an invoice. See Statements of account.

Making the transfer

  1. Open the matter's Client account and click Transfer fees to business, or use New → Transfer fees on the Transactions page.
  2. Enter the amount. Caseo shows what is outstanding and what is in trust.
  3. Save. Caseo writes both halves at once: a transfer out of trust ("Transfer to Business") and a matching deposit into business ("Transfer from Trust"), and adds it to the matter's history.

What Caseo refuses

  • A transfer larger than the fees and disbursements outstanding on the matter.
  • A transfer larger than the matter's trust balance, or one that would put it in debit on any day.
  • A future-dated transfer, or one dated in a signed-off month.

Paying an invoice from trust

On an issued invoice, choose to pay it from trust held. Caseo makes the same trust-to-business transfer, subject to the same limits, and records the invoice as paid.

Checking transfers

The Trust to business transfers report lists every transfer in a period, per matter. Reconciliation also checks that every transfer has both halves. If a transfer was wrong, reverse it: reversing either half reverses both.
