Reversals and corrections

Trust entries are never edited or deleted. If one is wrong, you reverse it, and both the mistake and the correction stay on the record.

Reversing an entry

  1. Open the entry in the ledger (or on the matter) and click Reverse.
  2. Give a reason, at least a few words: "Captured on the wrong matter", "Duplicate of TR-000123".
  3. Choose the reversal date. It can't be before the original or in the future.
  4. Save. Caseo adds an equal and opposite entry on the same account and matter, linked to the original.

In the ledger the original shows as Reversed (struck through) and the new line as Reversal. Both appear in reports and on the matter's history, with who did it and why. Then capture the entry correctly.

What Caseo won't reverse

  • An entry that has already been reversed, or a reversal itself.
  • A reversal that would put the matter's trust balance in debit (for example, reversing a deposit that has already been paid out).
  • An entry dated in a signed-off month, or a reversal dated in one. Reopen the month first (Administrators; see Month-end sign-off), or reverse in the current month.

Reversing either half of a trust-to-business transfer reverses both halves, so the two ledgers stay in step.

Deleting

  • Trust entries can't be deleted. Caseo tells you to reverse instead.
  • Administrators can delete a business entry that isn't part of a reversal or a transfer. The deletion is recorded on the matter's history.
  • A matter or client with any money history can't be deleted; archive it instead.
