Client account and statements
Each matter's Client account shows what the firm holds and what the client owes, and issues numbered statements of account that are kept exactly as issued.
Reading the client account
| Trust | Received in trust, held in trust, paid to third parties, kept back for unpaid disbursements, and what is left for the client (or owed by them). |
| Business | Fees (plus VAT if you're registered) and disbursements, what has reached the business account, and whether the client is in credit or owes the firm. |
If the matter's trust is in debit, a Trust in debit marker and a shortfall warning appear. Deal with it straight away.
Fees and disbursements
Under Fees & disbursements, add each fee or disbursement to the matter:
- Mark a fee as an agreed fee when it was agreed with the client; the statement discloses it as such.
- Mark a disbursement paid by firm when the firm paid it from business; Caseo records the business expense for you.
- Pay a disbursement from business, or from trust (see Payments from trust).
- Invoice these fees puts them on a draft invoice, so nothing is billed twice.
- A fee or disbursement can't be removed once it has been paid from trust, invoiced or credited.
Contingency fee agreements
Record a contingency fee agreement on the matter with its date and the amount obtained. Caseo caps the fees on that matter at 25% of that amount and refuses fees above it.
Issuing a statement of account
- In the Client account, choose Issue and print the trust statement or Issue and print the business statement.
- Caseo numbers it against the matter, for example
MAT-570/T01for the first trust statement andMAT-570/B01for the first business one, and opens it on your letterhead to print or save as a PDF. - Send it to the client.
The statement sets out the money received on the client's behalf, less fees and disbursements, less what was paid to the client, less what was paid to others on their behalf, less disbursements still to be paid, and the balance, with agreed fees disclosed.
Every statement is archived exactly as issued, with its totals frozen, and can't be deleted. Reprint exactly as issued produces the identical document later, even if the letterhead or the ledger has changed since. The Statements issued report lists them all.
