Bulk entry & migration

Moving to Caseo from another system

A practical order of work for moving your practice onto Caseo, whether you're coming from another system, spreadsheets or paper. Bringing your data across from another system or spreadsheets is part of our setup, at no charge; these are the steps we work through with you.

  1. Set up the firm. Work through Set up your firm: letterhead, VAT, bank accounts and lists. Put your most common matter types first.
  2. Decide on numbering. Under Numbering, set your matter prefix to match what you use today and the next number to follow your last file. If you'll capture old files, keep a reserved range for them so they keep numbers close to their paper ones.
  3. Add your team. Add every attorney and staff member with the right role on Members before capturing matters, so files can be assigned.
  4. Export from your old system. Get your matters and clients out as a spreadsheet (Excel or CSV). One row per matter, with the client's details on the same row, works best.
  5. Capture the files. In Bulk Entry, choose Old files, paste up to 200 rows at a time and save. Caseo creates the clients as it goes and avoids duplicates by ID number. Prescription dates come across too.
  6. Bring the diary across. Settings › Import takes a diary sheet (matter, date, time, what, who, place, kind, done). An entry dated in the past comes across as done unless the sheet says otherwise; no email goes out for imported entries.
  7. Bring in trust balances. Every matter's trust balance needs to be in Caseo before your first reconciliation, so the client balances add up to the bank. Agree the go-live date and how the balances will be captured with your bookkeeper (we can help).
  8. Set up reconciliation. In Reconciliation, set the go-live month and opening bank balance, then import your first statement. The three-way check shows whether the balances you brought in add up to the bank.
  9. Switch over. From go-live, capture new matters, receipts and diary entries in Caseo only.
Pasting, not uploadingCaseo takes old records by pasting spreadsheet rows into Bulk Entry; there is no file upload for matters and clients. For a large migration, or documents, ask us through Help & support or at hello@caseo.co.za.

Try it first

Before the full import, paste a few rows from your spreadsheet into Bulk Entry in your own firm to see how your columns are recognised. Nothing is saved until you choose to.
