Numbering
How Caseo numbers new matters and invoices. Numbers already issued never change, and the next number can't go below one that's in use.
Matter references
| Field | What it does | When to change it |
|---|---|---|
| Matter prefix | The letters before the number, for example MAT gives MAT-001. One to eight capital letters or digits, starting with a letter. CLOSED, RCT, TR, BR and CN are reserved because Caseo uses them for other numbers. | At setup, to match the prefix your firm already uses. |
| Next matter number | The number the next new matter gets. Caseo shows the highest number in use and won't let you go at or below it. | When you move to Caseo, set it to follow on from your last file number. |
| Old paper files | Switch on Keep a range of numbers for old files and set the top of the range ("MAT-001 to 567"). Files you capture through Bulk Entry take numbers from that range, and new matters start after it. Switched off, old files and new matters share one sequence. | Before you start capturing old files, so they keep numbers close to their paper ones. |
Below the fields, Next matters previews the next three references. Numbers are padded to three digits (MAT-007).
Invoice numbers
| Field | What it does | When to change it |
|---|---|---|
| Per month | The default. Numbers look like INV-202609-001 and restart at 001 every month. | Leave it unless your bookkeeper prefers a running number. |
| One running number | A prefix and a next number that just keep counting. The invoice prefix must differ from the matter prefix. | If you're continuing a sequence from your old system. |
Next invoices previews what's coming. An invoice only takes a number when it is issued, so deleting a draft never leaves a gap.
