Members

The Members page is where Administrators add people to the firm, set their roles, invite them to sign in, and hand over their work when they leave.

Members is for Administrators. Open it from the account menu under your initials. Everyone in the firm is included in the flat monthly price, however many people you add.

The member list

Across the top: how many members you have, how many were active this week, how many Administrators, and how many have never signed in. Search by name or email, filter by role, and tick Include inactive to see people who have left. Columns: name, role, email, status (Active, Invited or Inactive) and when they were last active.

Adding someone

  1. Click + Add member.
  2. Enter their Name, Email (the address they'll sign in with), Phone (optional) and Role.
  3. Save. Nothing is sent yet.
  4. Open their panel and click Invite to email them an invitation to create their sign-in, or Copy sign-in link to send it yourself.

Once they sign in with that email address, they're in your firm. Resend invite sends it again; the panel shows whether the invitation was sent, whether they already have an account, or whether it failed.

A member's panel

RoleChange their role. You can't change your own.
ProfileName, email and phone, when they were added and when they were last active.
Activity · last 30 daysA strip of 30 days, shaded by how long they were active each day.
SessionsWhen they used Caseo, for how long, and on what device (for example "Chrome · Mac"), with new devices marked. Kept for 180 days. No IP addresses are stored. Members can see their own sessions in Settings → Profile.
Recent workWhat they did recently: matter changes, transactions, diary, documents, expenses and statements.

When someone leaves

  1. Open their panel and click Deactivate (or tick several people and use Deactivate).
  2. Choose who takes them over. Caseo moves their open matters and diary entries to that person and notes the handover on each matter's history.
  3. Confirm. They can no longer get into your firm.

Deactivating never deletes anything: everything they did stays on record under their name. Reactivate brings them back. You can't deactivate yourself, and the firm must always keep at least one active Administrator.
